Export, Modify, and Import Grades

When modifying grades in Webcourses@UCF, instructors have the option of editing student scores using a spreadsheet, such as Microsoft Excel. To do so, you must Export the course Gradebook, alter the grades and/or columns, and then Import the final product back into the Canvas Gradebook.

How to Export Scores from the Gradebook

To download student scores from the Gradebook in Webcourses@UCF:

  1. In your course, click on Grades in the left-hand course navigation menu.
  2. Once you are in the Gradebook, click on the Export button at the top-left of the page to generate a pop-up dialogue.
  3. You then have the option to either save or open the .csv file in Excel. Webcourses@UCF Support recommends saving the file locally to ensure that no changes are lost. Do not change the file extension (.csv), or you will be unable to upload your edited scores.

Once completed, you will be able to edit student grades by modifying individual columns in the file.

Pre-existing Gradebook columns

Once you open the .csv file, you will see several pre-existing columns in the spreadsheet:

  • The Student, ID, SIS User ID, and the SIS Login ID columns must be included in order for Canvas to properly read the file. Do not change the content of these columns or you will receive an error when you try to upload the file.
  • The Section, Current Score, and Final Score columns are optional and can be ignored.
  • Pre-existing assignments will list student grades in numerical form. Please note that pre-existing assignments have ID numbers listed in parentheses after their titles. These can be ignored, as they are only used for software matching purposes.

You have the option to modify the titles of assignment columns along with the associated student grades by manually entering changes. You can also create new assignment grade columns by inserting new columns and scores into the spreadsheet. How to Import Scores to the Gradebook

To upload newly modified changes from your .csv file to your Canvas course:

  1. In your course, click on Grades in the left-hand course navigation menu.
  2. Once you are in the Gradebook, click on the Import button at the top-left of the page to choose the CSV file you wish to import..
  3. Click the Browse button.
  4. Browse for the .csv file on your computer.
  5. Once selected, click on Upload Data.
  6. If you added a new grade column, Webcourses@UCF will direct you to a page where you can confirm the creation of a new assignment and add the maximum amount of points possible.
  7. Mark whether the assignment in question is A new assignment or Bogus, ignore it. Fill out the Points Possible field, if applicable.
  8. Click Continue.
  9. You will be able to preview your changes in the page that follows. If the file that you uploaded contained pre-existing assignments that were not modified, those columns will be hidden in the preview.
  10. When satisfied, click Save Changes.
